PRIVACY STATEMENT

Scope: This statement sets out Adalta’s roles and responsibilities as to why and how we process your personal data. It explains the rights you have, including amongst others, the right to access your data and to object to the way it is processed.

This policy should be read along with our Equality Diversity Policy.

Adalta Development Ltd is committed to protecting your privacy. We collect information from employers and learners for registration, quality assurance and marketing reasons.
This privacy statement:
Applies to our use of any and all data collected by us or provided by you.
Applies in relation to your use of the website owned and provided by Adalta Development Ltd.
Explains why and how we process your personal data, and the rights you have, including the right to access your data, and to object to the way it is processed.
2. DEFINITIONS
Data – collectively all information that you submit to Adalta Development Ltd. including via the website. This definition incorporates, where applicable, the definitions provided in the Data Protection Act 1998 and the General Data Protection Regulation;

Data Controller – At Adalta we are the ‘data controllers’ of the information (‘personal data’) that we collect about you, our ‘data subjects’.
This means we are responsible for how your data is processed in others words, what can be done with personal data, including collection, storage, use, sharing and deletion.

Data subject – refers to any individual person who can be identified, directly or indirectly, via an identifier such as a name, an ID number, location data, or via factors specific to the person’s physical, physiological, genetic, mental, economic, cultural or social identity.

2.1 Why do we collect data
We collect data so that we can to support you in your learning, monitor and report on how well you are doing, manage and support our relationship with you, comply with legal obligations and provide the best services to our customers.
We need to collect personal information in order to:

Confirm your identity to provide services
Contact you by post, email or telephone
Understand your needs to provide the services requested
We will only process personal information about you if one of the conditions below applies:

For the performance of a contract with you

2.2 How do we collect information?
We will obtain personal information from you when you enquire about our services and/ or register with us. We may also receive information about you from partner organisations, for example from the Chartered Management Institute and the Education and Skills Funding Agency.

2.3 What information do we collect?
Adalta collect basic contact information at the point of enquiry which includes name, address, e-mail address, telephone number and the nature of enquiry.
Personal information is also collected during programme registration for CMI qualifications, management Apprenticeships and in-house management programmes.  This includes:

Date of birth
Ethnic group
Relevant learning needs and requirements
Details of prior learning
Relevant medical information

2.4 How do we use this information?
Your personal information is used for identification and registration purposes to support quality assurance and ensure the best possible learning experience.  We may share your information with partner organisations such as Chartered Management Institute and Education and Skills Funding Agency that are supportive of our aims and objectives.

When you provide your details, you will be asked if you give consent for your information to be shared. You can change your mind at any time by contacting us in writing at the above address.
We keep your data secure and have controls in place to protect information being inappropriately used. We work to ensure that your data is correct, we do not keep it any longer than is necessary and we recognise your rights in respect of your data.
2.5 Will we disclose the information we collect to outside parties?
We may pass your information to our partner organisations if you have consented. We do not share any personal information unless we have received your explicit permission to do so. From time to time, we employ the services of other parties for dealing with certain processes necessary for the operation of the website. The providers of such services do not have access to certain personal data provided by users of our services or our website.
We may also need to disclose your information if required to do so by law.

2.6 How will we keep your data safe and how long you will keep your data for?
Data security is of great importance to Adalta Development Ltd. and to protect your data we have put in place suitable physical, electronic and managerial procedures to safeguard and secure all data collected including via our website. We use a secure server to store all information received.

We also take appropriate measures to ensure that the information disclosed to us is accurate, up to date and kept only for so long as is necessary for the purposes for which it is used and in line with Awarding organisations directives.

request the erasure of your personal data in certain circumstances (‘right to be forgotten’).

object to the processing of your personal data in certain circumstances.  We may still be required to hold or process information if there are legitimate grounds for doing so.

We may not be able to provide the service you have requested without your personal data.

We will not make decisions about you based on automated processing.

If you register an interest with Adalta Development Ltd., you will be given the opportunity to unsubscribe from future marketing communications, which will be acted on promptly.

7. MONITORING & ACCOUNTABILITY

7.1 Monitoring of reports received will be reviewed by Company Directors to ensure that procedures have been followed, that any learning is shared and that any changes required to Adalta’s notice are made.

8.1 We will carry out a fundamental review of this policy every year or sooner subject to legal, regulatory changes or if internal changes require. If we make any changes to our statement we will make these available on our website.
